Recruiterflow Pricing: Cost per User per Month, and What the Published Price Does Not Include
Recruiterflow publishes one price and quotes the other plan. The number matters less than what sits inside it, because unlike most recruiting systems the priced plan does include candidate outreach. Read at recruiterflow.com/pricing on September 9, 2026.

In one answer Recruiterflow publishes one price. The Platform Plan is $149 per user per month billed monthly, or $119 per user per month billed annually, both read at recruiterflow.com/pricing on September 9, 2026. The second plan, AIRA, shows "Let's chat" and custom pricing, so one of the two plans carries a dollar figure. What makes Recruiterflow unusual among recruiting systems is what the priced plan contains: alongside the ATS and CRM, the Platform Plan lists multichannel sequences, recruitment automation, sales automation, client and team access control, bulk sourcing through a Chrome extension, reports and API access. That matters because Bullhorn publishes no price for any tier that can contact a candidate, and Loxo puts outreach in Professional at $199 per user per month. At $119 billed annually, Recruiterflow Platform is the lowest published price we can verify at which a US recruiting agency can buy applicant tracking, a recruiting CRM and multichannel candidate sequences from a single vendor. The limit is which channels are included. On Recruiterflow's own feature grid the Platform plan covers email, calls and text, while LinkedIn sits in the unpriced AIRA plan, together with the phone and email finder and job change alerts.
How much does Recruiterflow cost per user?
Recruiterflow costs $149 per user per month billed monthly, or $119 per user per month billed annually, for the Platform Plan. Those are the only two figures on the pricing page, and they are the same product on different billing terms. Paying annually saves $30 per user per month, which is $360 per user per year, or a fraction over 20 percent.
Because the meter is per user, the total scales with headcount rather than with activity. A solo recruiter pays $1,428 a year on annual billing or $1,788 monthly. A three-person desk pays $4,284 or $5,364. A five-recruiter agency pays $7,140 a year annually or $8,940 monthly, and a ten-person firm pays $14,280 or $17,880. There is no published seat minimum, which is worth noting because several tools in this category impose one: Apollo requires three seats on its Organization tier and Regie.ai carries a ten-seat annual minimum, so their advertised per-seat prices understate the real floor.
Recruiterflow also offers a currency selector for USD, EUR and GBP. The figures on this page are the USD ones.
1 recruiter: $1,428/yr annual, $1,788/yr monthly
3 recruiters: $4,284/yr annual, $5,364/yr monthly
5 recruiters: $7,140/yr annual, $8,940/yr monthly
10 recruiters: $14,280/yr annual, $17,880/yr monthly
What is included in the Recruiterflow Platform Plan?
The Platform Plan is described on the pricing page as built for search firms that need an end-to-end solution, and its feature list is unusually complete for a published entry price. It covers the ATS and the recruiting CRM together, so candidate pipelines and client relationships live in one system rather than in an ATS plus a separate sales tool.
The item most worth pointing at is multichannel sequences. In this category, outreach is normally the thing that moves you up a tier or into a quote. Recruiterflow lists it in the priced plan, along with recruitment automation and sales automation, which is the difference between a system that stores your candidates and one that can also work them.
ATS and recruiting CRM in one system
Multichannel sequences, included at the published price
Recruitment automation and sales automation
Client and team access control
Bulk sourcing through the Chrome extension
Reports and Recruiterflow BI
API access
Unlimited jobs, candidates, contacts and companies
What does the AIRA plan cost?
Recruiterflow does not publish a price for AIRA. The plan shows "Let's chat" and custom pricing, and it is aimed at larger teams. AIRA is Recruiterflow's suite of AI agents, and the plan bundles the Notetaker, the Matchmaker, job change alerts, a field updates agent, a submission agent and a task agent, plus omnichannel communication sync and custom BI dashboards.
One term in the AIRA FAQ is genuinely buyer-friendly and worth quoting when you negotiate: Recruiterflow states that AIRA customers get full access to all current and future AIRA agents at no extra cost, and that for multi-year custom plan customers every new AIRA capability is included for the contract duration. In a market where vendors routinely launch AI features as paid add-ons, a written commitment that future agents are included is a real concession. It is also the reason the AIRA price is not published: the value of the bundle keeps changing.
Treat any third-party figure for AIRA with suspicion. Recruiterflow attaches no number to it in any form, so anything you read is a quote someone received for their own headcount and contract length, not a list price.
The channel that is not in the published price
Recruiterflow's feature comparison grid separates the plans by communication channel. The Platform Plan row reads email, calls and text. The AIRA row reads the same plus LinkedIn. The phone and email finder, which surfaces verified contact details for candidates and contacts, and job change alerts both sit on the AIRA side as well.
For most recruiting desks that is the whole negotiation. LinkedIn is where a large share of candidate conversations start, and a contact finder is what turns a sourced profile into an email address you can actually sequence. Both are behind an unpriced plan. So "multichannel sequences at $119 per user" is accurate, and it means email, phone and SMS, not LinkedIn.
This is not a criticism unique to Recruiterflow. It is the standard shape of recruiting software pricing: a friendly, published entry tier, and the capability most firms actually came for one tier up, where the price becomes a conversation. Recruiterflow is simply more honest than most about where the line sits, because it prints the grid.
Recruiterflow vs Bullhorn vs Loxo: what a five-recruiter desk pays
The three systems a US staffing or search firm usually shortlists price very differently, and the ranking flips depending on whether outreach is in scope. All figures below were read at each vendor's own pricing page, Bullhorn and Loxo in early September 2026 and Recruiterflow on September 9, 2026.
On entry price alone, Bullhorn Starter at $99 per user per month is the cheapest. But Bullhorn Starter is applicant tracking, resume parsing, client management and job posting, with no outreach, messaging or engagement capability at all, and Bullhorn publishes no price for any tier that can contact a candidate. Loxo Core starts at $149 per user per month and puts outreach in Professional at $199. Recruiterflow Platform at $119 annually includes sequences.
So for a five-recruiter desk that wants one system to track candidates and contact them, the published options are Loxo Professional at $11,940 a year or Recruiterflow Platform at $7,140 a year. Bullhorn cannot be priced for that job from its own website. Recruiterflow is $4,800 a year cheaper than the only comparable published alternative, with the LinkedIn caveat above attached.
Are there add-ons, hidden fees or migration costs?
Recruiterflow answers this directly in its FAQ: "No add-ons. No surprises. No extra costs." It states that every feature, current and upcoming, is included based on your selected plan. Among recruiting vendors that is a strong and unusually specific commitment, and it is the kind of sentence worth pasting into an order form.
There is one paid item, and it is a service rather than a feature. Data migration comes in two forms. The self-serve route uses an Excel or CSV import tool and is free. White-glove migration, where Recruiterflow's team moves and maps your entire database, is paid, priced on data volume, and typically takes six to eight weeks. Recruiterflow says the migration fee can be discussed as a waiver on multi-year contracts, which tells you it is negotiable.
That six to eight week window is the number to plan around if you are leaving an incumbent ATS. It is not a weekend project, and it usually overlaps with a period where you are paying both vendors.
Why do third-party Recruiterflow prices disagree?
Because a lot of them are out of date. Search for Recruiterflow pricing today and you will find review sites, comparison blogs and pricing aggregators publishing a three-tier structure named Recruit at $99, Recruit Pro at $129 and Recruit Enterprise at $159 per user per month. None of those tiers exist on Recruiterflow's pricing page as of September 9, 2026. The live page has exactly two plans: Platform and AIRA.
The same problem affects the head-to-head pages. Comparisons of Recruiterflow against Loxo commonly describe a Loxo free plan, a Basic tier around $109 and custom-quoted Professional and Enterprise tiers. Loxo retired its free tier, its Basic tier and its Starter tier, and it publishes Professional at $199 per user per month. Several widely-read pages therefore get both vendors wrong in the same paragraph.
The practical rule: before you build a budget, open the vendor's own pricing page and read it. Aggregators copy each other and rarely re-check, so a retired tier can circulate for a year after it is gone. Every figure on this page was read at the source on the date stated, and we say so precisely for that reason.
Where a separate outreach layer fits
If you are running Recruiterflow, you already own sequences at the published price, and you do not need another sending tool to do basic candidate follow-up. The case for a separate outreach layer shows up in three situations, and it is worth being clear that they are narrower than a vendor would usually admit.
The first is client-side business development at volume. Filling roles and winning retainers are different sending patterns: BD campaigns go to cold contacts who never applied to anything, at higher volume, and they are the ones that put your domain reputation at risk. Running them from your ATS domain risks the deliverability of the candidate messages that pay the bills.
The second is seats versus sending capacity. A per-user licence is a seat meter, not a reach meter. Adding a consultant to Recruiterflow costs $1,428 a year on annual billing and adds no additional sending capacity, because capacity comes from warmed domains and mailboxes, which cost roughly $2 to $4 a month each and support 30 to 50 sends a day once warmed. The two meters are unrelated, so scaling reach through seats is expensive.
The third is LinkedIn and contact data sitting in the unpriced plan. If the quote for AIRA comes back higher than your desk can justify, a standalone outreach layer at a flat $39 a month, which researches each prospect, writes the sequence and sends from your own warmed domains, covers the sending half of that gap without moving your system of record. Recruiterflow stays the ATS and CRM. Our recruitment outreach tool page works through where that split makes sense, and prospecting tools for recruitment agencies compares the vendors for the BD half.

Common questions
The questions buyers actually ask before they switch.
How much does Recruiterflow cost per month?
Recruiterflow Platform is $149 per user per month billed monthly, or $119 per user per month billed annually, read at recruiterflow.com on September 9, 2026. Those are the only published prices. The AIRA plan is custom-quoted with no figure attached. Because the meter is per user, a five-recruiter desk pays $745 a month on monthly billing or $595 on annual billing.
How much does Recruiterflow cost per year?
Recruiterflow Platform is $1,788 per user per year billed monthly, or $1,428 per user per year billed annually. A three-person desk commits $4,284 a year on annual billing, a five-recruiter agency $7,140, and a ten-person firm $14,280. There is no published seat minimum, so those totals scale cleanly with headcount rather than starting at a floor.
Does Recruiterflow have a free trial or a free plan?
Recruiterflow does not publish a free plan or a self-serve free trial on its pricing page. Both plans route through a "Book Your Demo" or "Get Demo" button rather than a checkout, so access starts with a sales conversation. Free self-serve data migration through the Excel and CSV import tool is offered, but that is an onboarding tool rather than a trial of the product.
Does the Recruiterflow Platform Plan include outreach sequences?
Yes. Multichannel sequences are listed in the Platform Plan at the published price, along with recruitment automation and sales automation. The limit is which channels: Recruiterflow's own feature grid shows email, calls and text on Platform, and adds LinkedIn only on the unpriced AIRA plan. The phone and email finder and job change alerts also sit on the AIRA side.
Is Recruiterflow cheaper than Loxo?
For a firm that wants outreach included, yes. Recruiterflow Platform is $119 per user per month billed annually against Loxo Professional from $199, the Loxo tier that includes outreach, so a five-recruiter desk pays $7,140 a year rather than $11,940. Against Loxo Core, which starts at $149 and does not include outreach, Recruiterflow is still $30 per user per month cheaper.
Is Recruiterflow cheaper than Bullhorn?
It depends on what you are buying. Bullhorn Starter at $99 per user per month is cheaper than any Recruiterflow price, but it contains no outreach, messaging or engagement capability, and Bullhorn publishes no price for any tier that can contact a candidate. Compared with Bullhorn Core at $165, Recruiterflow Platform is cheaper on both billing terms and includes sequences that Core does not.
Does Recruiterflow charge extra for AI features?
Not within a plan. Recruiterflow states that AIRA plan customers get full access to all current and future AIRA agents at no extra cost, and that multi-year custom plan customers receive every new AIRA capability for the contract duration. The cost is the plan itself: the AI agent suite lives on the AIRA plan, which carries no published price, so moving to it is a quote rather than a listed upgrade.
How long does it take to migrate to Recruiterflow?
Recruiterflow states that white-glove migration, where its team moves and maps your full database, typically takes six to eight weeks. That route is paid and priced on data volume, though Recruiterflow says the fee can be discussed as a waiver on multi-year contracts. The self-serve alternative, importing through the Excel or CSV tool, is free and takes minutes but leaves the mapping to you.
Why do other sites list Recruiterflow tiers called Recruit and Recruit Pro?
Because those tiers are no longer on Recruiterflow's pricing page. Several review and aggregator sites still publish a three-tier structure of Recruit at $99, Recruit Pro at $129 and Recruit Enterprise at $159 per user per month. As of September 9, 2026 the live page shows exactly two plans, Platform and AIRA. Aggregators rarely re-check, so retired tiers circulate long after they are withdrawn.
