ColdOutreach

ColdOutreach AI Refund Policy

Applies to payments made on or after October 14, 2026

Once ColdOutreach takes a payment for a plan, that payment is settled and stays with us. There are exactly three situations, described in part B, where money goes back, and each one has to be borne out by our records. This page sits alongside our Terms of Service and is binding in the same way.

A. Results from campaigns do not affect the fee

A plan gives you a fully opened outreach workspace for a month or a year: prospect research, sequence drafting, sending through your own connected inboxes, domain warmup and reply tracking, up to the limits listed on the pricing page. What prospects do with your emails is outside our control, as the Terms set out. For that reason we keep the fee in full, and we do not discount it, when for example:

  • a sequence booked fewer calls or got fewer answers than you expected;
  • mailbox providers filtered your messages into spam or slowed down a sending domain;
  • Google, Microsoft or LinkedIn restricted an account you had connected;
  • the workspace sat idle, or you sent only a fraction of the volume your plan covers;
  • we shut the account because a bought or scraped list was uploaded in breach of the anti-spam rules;
  • a renewal cleared only after the card had been declined a few times;
  • you assumed you were paying once, even though checkout, the receipt and the reminder email all describe a recurring plan;
  • the reminder email went unread, or you switched renewal off minutes after it was charged;
  • you hoped for a feature that the pricing page never offered;
  • the plan tier or the monthly versus yearly option was chosen by mistake;
  • someone else on your team signed in with your credentials;
  • days are left over in the period after you stop renewal (we never split a period).

B. The three exceptions

Double billing. Our billing collected two payments for one and the same period. We hand back the second one.

Card fraud. Your card was charged without your agreement and you tell us no more than 14 days after the payment. A statement from you is where the review starts, not where it ends: we check the payment with our payment operator and against the account activity, and we may ask you to show that you reported the fraud to your card issuer.

Total failure of the service. Because of a fault we confirm on our side, ColdOutreach did not work at all for an unbroken stretch, you contacted us during that stretch, and we were unable to fix it. Sending that is slower than usual, a single sync that fails, a mailbox provider having its own outage, or an issue with your browser or connection are not a total failure.

If we agree to pay something back, it goes to the card used for the payment, it is no more than what that period cost, and it closes the matter for that charge for good.

C. Making a request

Send an email to [email protected] from the address registered on your ColdOutreach account, no more than 14 days after you were charged. Include the payment date and amount and name the exception from part B. We do not consider messages that arrive later or that come from an address with no account behind it. We work through requests in the order they reach us and do not reopen one we have already declined.

D. Disputes through your bank

If you file a chargeback without first writing to us, you are in breach of the Terms of Service and the account is closed for good. When a dispute is opened we pass the records described in part F to the card issuer.

E. Turning off renewal and late payments

Renewal can be switched off from account settings whenever you like; no email to us is needed. The change is immediate, so no later period will be billed, while your sequences, prospects and reports remain reachable until the period you already paid for ends. Switching off renewal does not count as asking for money back.

A reminder email goes out ahead of each renewal. When the renewal date arrives, the new period begins and is owed. A declined card is retried by our payment operator over the next few days against the same invoice; that is one charge, not two. Stopping renewal while retries are running prevents the periods after it, but the period that has already started remains owed and will not be refunded, even if it is collected late.

F. The records behind every subscription

Signing up means accepting the Terms of Service together with this policy and our Privacy Policy. Before you pay, checkout spells out your tier, its cost, how often it bills and the fact that it renews by itself; the receipt email repeats those details.

We store, per subscription: when it was bought, the plan and price displayed at checkout, the acceptance of the terms, every receipt and renewal reminder sent, and the account history (sign-ins, prospect imports, sequences built, emails sent, inboxes linked) with the technical data that goes with each event. Our payment operator separately records each charge, including the card's issuing country, the location the payment came from and the outcome of bank verification such as 3D Secure. We use all of this to assess requests and to answer disputes.

G. Starting straight away

Paying for a plan is your instruction that the service begins at once. Where a law would otherwise give you a cooling-off period or a right to withdraw, you agree that it no longer applies once your workspace is open.

H. Plans bought before this policy

If you paid before October 14, 2026, the refund rules that were published on the day of that purchase still govern it.
