The walkthrough
Cold email outreach, from connected inbox to booked meeting
Cold email outreach in Coldoutreach takes five steps: connect your inbox, import a permission-based list, let the AI research and draft each prospect, run email plus LinkedIn sequences, and track replies until meetings land on your calendar.
Below is the full walkthrough, exactly as it runs in the product. No step requires a sales call, an onboarding project or a CSV wrestling match. Most teams send their first approved sequence within an hour of signing up.
Step 1 · Day 0
Connect your inbox and start email warmup
Coldoutreach connects to Google Workspace and Microsoft 365 with OAuth in two clicks, or to any other provider over SMTP and IMAP. You send from your own domain, every message lives in your own Sent folder, and you can disconnect at any time.
The moment the inbox connects, two things happen. First, we run a technical check on your sending domain: SPF, DKIM and DMARC records, blocklist status, and the age of the domain. Second, email warmup begins: your inbox exchanges real, human-looking conversations with a network of verified inboxes, ramping volume day by day so mailbox providers learn to trust your domain before a single prospect hears from you.

Step 2 · Day 0
Import your permission-based prospect list
Bring the list you built: a CSV export, a CRM sync from HubSpot, Salesforce or Pipedrive, or prospects added one at a time. Coldoutreach maps your columns automatically, deduplicates against everything already in your workspace, and validates each address before it can enter a sequence.
Guardrails run at import, not after the damage. Every row is checked against your global suppression list and every prior opt-out across your team. Purchased and scraped lists are against our terms, and the import screen says so plainly: blasting strangers at volume burns domains and lands in spam, which is exactly the outcome this platform exists to prevent.

Step 3 · Day 0 to 1
The AI researches every prospect, then drafts
This is the step that separates Coldoutreach from merge-tag tools. For each prospect, the AI reads their company website, LinkedIn profile and activity, recent news and funding announcements, and the tech stack visible on their site. It condenses all of that into a research card: who this person is, what changed recently, and which angle gives you a reason to write today.
From the research card, AI personalization drafts the full sequence: a first line about them rather than about you, an angle tied to the signal it found, and a call to action sized to the ask. You approve or edit angles per prospect or in bulk; nothing sends until you have.

prospect: Dana Whitfield · VP Operations, Harborline Logistics
signal: opened a second Rotterdam warehouse (press, 12 days ago)
linkedin: posted about carrier invoice disputes, 340 reactions
tech: NetSuite · project44 · no audit tooling detected
angle: second-site growth usually doubles invoice disputes; open with the Rotterdam expansion
Approve angle · Request new angle · Write my own
Step 4 · Day 1 to 10
Multichannel sequences: email plus LinkedIn, A/B tested
Approved drafts flow into email sequences that mix sends with LinkedIn steps: a connection note on day 3, a short InMail draft when the connection lands, a task in your queue when a manual touch beats an automated one. Steps are spaced to read like a human following up, and send throttles keep daily volume inside what your warmup level supports.
Every sequence can A/B test subject lines, first lines and whole angles. And the rule that matters most: the moment a prospect replies, their remaining steps stop. No follow-up ever lands after a human answer. Unsubscribe links appear on every send and take effect instantly, across your whole team.
Sequence · Harborline expansion angle
Day 1Email · subject A/B: “Rotterdam” vs “second warehouse”
Day 3LinkedIn connect note, 42 words
Day 6Follow-up email, new proof point
Day 10Breakup email, door left open

Step 5 · Ongoing
Meetings book, and the analytics tell you why
Replies are classified as interested, not now, referral or opt-out, and interested threads carry your scheduling link. The dashboard tracks opens, replies and booked meetings per angle, per sequence and per rep, so the decision about what to send next week is a reading exercise, not a guess.
Because results attach to angles rather than just templates, you learn something durable: which reason-to-write books meetings in your market. Winning angles roll forward into the next batch of research automatically; losing ones get cut.
Angle performance · last 30 days
Expansion signal61% open · 24% reply · 9 meetings
New-hire signal57% open · 18% reply · 5 meetings
Generic pain point44% open · 6% reply · 1 meeting
Suggested: retire “generic pain point”, reallocate to expansion signal.

Walkthrough questions
Cold email outreach questions, answered straight
How long does cold email outreach take to produce meetings?
Most teams book their first meetings within two weeks. A brand-new sending domain needs 2 to 3 weeks of warmup before full volume, so teams starting from zero usually see steady meeting flow in weeks 3 to 4. An already-warm inbox can start sequences on day one.
Do I need to write anything myself?
You approve rather than write. The AI drafts every email and LinkedIn step from its research on each prospect; you review the angle, tweak lines you want in your own voice, and approve. Most users spend 20 to 30 minutes a day reviewing instead of 3 to 4 hours writing.
What happens when a prospect replies?
The sequence stops for that prospect instantly. Reply detection watches every connected inbox, pauses all remaining steps the moment a human answer arrives, and flags the thread for you. Out-of-office replies are recognized and the sequence resumes after the return date.
